If you want to copy a template then this can easily be done from the Templates area, please note though that this can only be done for active templates from those you already have set up. This can be handy if you just need to make some tweaks or amendments to the existing structure of a template which has already been used in a record. Below we have outlined how to do this.
Copying an existing template
To copy a template, head to Admin > Templates > Template. For any active templates, you will see a blue 'page' icon under the 'Actions' column on the right hand side, which when clicked will allow you to copy the template.
Next, ensure the 'New Template Type' is set appropriately. The template type you choose determines how the template type is grouped and analysed in records and reports. Then, enter a clear template name. Next, select from your displayed categories. Categories play a part in defining which staff members can create or access particular records, so we recommend ensuring this is selected accurately. Then, click Create. |
You will then be taken to the template builder ('Edit Structure' tab), where you can proceed to make your desired changes and save them.
Once saved, you would need to click the green 'play' icon to activate the template, so that it can be used to create records.
We highly recommend thoroughly checking through your template changes before saving, as once a template has been used to create a record, it cannot be amended.
Note: If your copied template is replacing a previous template, you may also want to deactivate and archive your previous template, to ensure staff do not use this old template to create records going forward, and to help make your template list easier to manage.
