User Groups serve two functions within Observe:
- They control access levels by defining which areas of the service the group has access to.
- They affect permissions by linking categories to a user group allowing you to control which records can be created and viewed by users within the group.
By default, Observe provides two user groups:
- Admin - This group has full access to all areas in Sisra Observe, as well as all records and reports. This group is locked and cannot be amended or removed.
- User - This group allows access to the records and reports areas. Although this group is locked, you are able to amend which categories this group has access to.
You have the option to create additional user groups. For example you could create an SLT group with access to view all users’ records and reports, but without access to the 'Admin' area.
To create a new user group, navigate to Admin > Users > User Groups > then click Create User Group.
Next, enter a name and optional description. Staff members will be able to view the name of the group they belong to, and you can use the description to add additional information, which will only be accessible from this page. Next, use the tick boxes to define which categories the group will have access to. These categories are organised by template type.
Once you've done that, scroll down the page and you can then assign ‘User Group Actions’, which will determine which areas the users within this group will be able to access. By default, new user groups will have access to the Home, Records and Reports areas, including any additional template types you have created, however you can grant more or less access using the radio box options.
For example, if you wanted certain users to only be able to create records and not view resources, then you could remove their access to the Resource Area.
You can also break down user group actions by individual template types, as you can see below. This allows you to determine whether users can create or view records and if they are able to access the reports area for each of your template types.
For example if you wanted certain users to be able to view only the Quality Assurance reports then you could remove their access to the Appraisal reports area.
Once you have finished, click Create Group at the bottom of the page.
